Wedding planning and coordination are what got Ellen started in the event industry. Her and Rhonda have learned so much throughout their 3 years of helping couples bring their dream day to fruition!
Ellen’s favourite part of planning/coordination is seeing the couple get to fully immerse themselves in their big day. They don’t need to worry about the logistics like welcoming vendors, ceremony timing, or room flips. Having a coordinator on site ensures that not only the couple, but their loved ones, get to be fully present on the wedding day and take everything in.
Whether you’re needing help on where to start or just need someone on the day-of to ensure everything goes as planned, Planning/Coordination is offered as an add on to all Estelle Event Centre renters.
Please note that Planning and Coordination services are only offered to those who have booked the Estelle Event Centre for their event.
Options
DAY-OF COORDINATION
Information:
You’ve taken a knack to planning your special day, but you’re in need of someone who will ensure the train stays on the tracks while you’re busy, you know, getting married and all. From finessing your place settings to room flips between the ceremony and reception, we will be those go-to people to help with all aspects of your day to ensure that you and your loved ones can take everything in without worrying about the details.
Includes:
- Intro meeting two months out from wedding (1 hr)
- Final planning meeting the week of the wedding (0.5 hr)
- Vendor confirmations the week of the wedding
- Day of support – lead planner and one assistant (8 hrs)

WEEKEND COORDINATION
Information:
Very similar to our day-of coordination package, with the addition of multi-day support. We will be present for set up the day before to help with anything needed and guide your wedding party through the ceremony rehearsal flow.
Includes:
- Intro meeting two months out from wedding (1 hr)
- Final planning meeting the week of the wedding (0.5 hr)
- Vendor confirmations the week of the wedding
- Set up/walk through of the space the day prior (4 hrs)
- Ceremony rehearsal support (1 hr)
- Day of support – lead planner and one assistant (8 hrs)

PLANNING SUPPORT &
WEEKEND COORDINATION
Information:
You’re beyond excited to marry the love of your life, but you’re a bit overwhelmed with all of the aspects that go into bringing your dream wedding to fruition. You have a good idea of what you envision, but feel a bit of support could help you enjoy your wedding process even more. Whether you need help with the timeline creation, selecting rental items, decor mood-boards, or vendor recommendations – you will lead the charge with planning but we’ll be available to you for any support you need throughout the process!

- Intro meeting 8-12 months out from wedding (1 hr)
- On-call planning support leading up to the wedding (8 hrs)
- Check-in meeting two months out from wedding (1 hr)
- Final planning meeting the week of the wedding (0.5 hr)
- Vendor confirmations the week of the wedding
- Set up/walk through of the space the day prior (4 hrs)
- Ceremony rehearsal support (1 hr)
- Day of support – lead planner and one assistant (8 hrs)

FULL SERVICE
Information:
You just got engaged and can’t wait to get married, but planning the wedding isn’t your idea of a good time. For this package, you take on more of a consultative role and we lead the charge with planning. We’ll meet to kick things off but after that, you are basically only in charge of saying “yes” or “no” options.
Includes:
- Intro meeting shortly after engagement
- Monthly check-ins (weekly leading up to the wedding)
- Vendor sourcing and securement
- Decor planning and purchasing
- Signage and material creation
- Save the date, invite design, and printing
- Weekend timeline creation
- Music recommendations
- Final planning meeting the week of the wedding
- Set up of venue the day prior
- Ceremony rehearsal support
- Day of support
- Clean up the following morning

CORPORATE & PRIVATE PLANNING / COORDINATION
Ellen offers planning and coordination services for events outside of weddings as well. She has experience working on corporate client appreciation events, conferences, and private events such as baby showers and graduation parties. Please inquire for a custom quote for planning/coordination as they vary greatly depending on the event and type of support needed.

Out of all of the decisions we made leading up to our wedding, our best one was to bring Ellen into the planning and coordination of the day. We knew we hit the jackpot on a wedding planner from the beginning. First, we were not in Regina, so she went “shopping” to ensure we had all the needed rental pieces. She also created a shot list for the photographer and a detailed weekend schedule.
Closer to the wedding, she took over all communication with our vendors, which was incredibly helpful and took much of the stress off our plate. The day before the wedding, she walked us through the rehearsal, ensuring everyone knew what they were doing and had the ceremony set up perfectly. Late on the night before the wedding, we had a mini emergency at the venue, and she did everything in her power to shield me from knowing and went above and beyond to come back to the venue to do what she could to fix the issue.
Last but not least, on the wedding day, Ellen and her mother ensured the day went off without a hitch! Everything was perfect, and if anything went wrong, I didn’t know about it – That is how good she was! I recommend Estelle Events over & over again for all of your planning needs.
